International Convention – Calgary

When the international community arrives, it's time to shine, and that's what we did.

Project Overview

Digital Face Media was engaged by Rotary International to design, produce, and manage the Peace Park general sessions at the 2025 Rotary International Convention in Calgary, Alberta. Peace Park was conceived as a dedicated venue within the convention footprint — an immersive environment where Rotary's message of peacebuilding, service, and global collaboration could come to life over multiple days of programming for more than 20,000 attendees from over 200 countries and regions.

Our scope was comprehensive: original media production for large-format video walls, complete run-of-show design and management for each general session, and full audiovisual delivery and on-site operations throughout the convention. For Digital Face Media, it represented the full range of our conference production capabilities under one roof, for one of the world's most recognized nonprofit organizations.


Challenge and Objectives

The Rotary International Convention is one of the largest gatherings of its kind on earth. Peace Park was not a breakout room or a side stage — it was a purpose-built venue with its own identity, its own multi-day programming calendar, and its own audience experience goals. Rotary needed a conference production partner who could do three things simultaneously: create a cohesive visual environment, produce and call general sessions with broadcast-level precision, and own the complete audiovisual infrastructure for the venue.

While Digital Face Media is primarily known as a creative studio and conference production company rather than a traditional A/V house, Rotary trusted our team to provide and operate the full technical solution. That trust was grounded in the company's long history of evolving with technology — from digital pre-press and database management through sales, marketing, and into full-service creative and live event production. We do not hand off the technical side. We own it alongside the creative.


Large-Format Video Wall Content and Media Production

Our production team developed an extensive media package purpose-built for the Peace Park environment. This included branded motion graphics aligned to Rotary's visual identity and the convention's annual theme, custom video segments produced to carry the narrative from session to session, ambient content designed to welcome attendees as they arrived and fill the space between program elements, and transitional elements that gave each general session a polished, broadcast-quality feel.

Every piece of content was built to work at the scale and configuration of the video walls and supporting displays throughout Peace Park. The goal was simple: when attendees walked in, they would not be entering a room with screens. They were walking into a produced environment where the visual language, the story, and the brand all spoke the same sentence.


Run-of-Show Design and General Session Management

For each general session across the multi-day convention schedule, the Digital Face Media team developed a complete run of show — the kind of detailed production document that leaves no room for interpretation on show day. Presenter timing, video cue sequences, transition logic, segment lengths, and contingency notes were mapped out in advance so the show could be called with confidence from the control position, even as the dynamic environment of an international convention created last-minute adjustments.

This is the discipline that separates conference production from A/V rental. Our team managed each Peace Park general session with a broadcast mindset — structured, cued, and built to flex when needed. The same team that built the content sat at the controls during the event, which meant creative intent and technical execution stayed perfectly aligned from the first welcome moment to the final closing session.


Audio Visual Production and On-Site Operations

Providing the complete A/V solution for a multi-day general session venue inside an international convention is not a small undertaking. Our on-site team managed video playback and signal routing to multiple large-format displays, audio reinforcement calibrated for the Peace Park space and audience size, live show calling in real time, and trained operator staffing across every session of the convention.

There were no seams between the creative and technical teams because they were the same team. That integration — one group of people who built the content, designed the show flow, and operated the systems — is what kept the attendee experience at the center of every decision, even when the schedule shifted, and the pressure was on.

Results

Over several days in Calgary, Peace Park delivered. Attendees experienced a venue that felt cohesive and intentional. The video walls carried stories that mattered. The general sessions ran on time, on-brand, and on-message. The transitions were clean. The technology served the narrative rather than competing with it.
