The Event
The Big West Rotary Institute is a national leadership conference drawing senior Rotary leaders and executives from across the Western United States and beyond. Held in October 2025, the multi-day event required more than logistics — it demanded a production partner who could align message, visual design, and live execution into a single, seamless experience.
This wasn't a venue with a projector and a podium. This was a leadership summit where every session, every video, every lighting cue needed to reflect the weight of the room — and the vision of the organization.

The Approach
Digital Face Media came in as both a media development studio and a full conference production team — handling every layer of the experience from stage to screen to social.
Stage Design and Environment
The team designed a main stage environment capable of supporting multiple days of programming while remaining flexible enough to shift between keynotes, panel discussions, award ceremonies, and high-energy openers. A Digital Face Media video wall anchored the stage, paired with dynamic effects lighting that gave each general session its own distinct visual identity — all while keeping Rotary's brand and event theme front and center throughout.
Show Direction and Stage Management
Digital Face Media's show callers and stage managers kept speakers, live cues, and media playback in tight synchronization — delivering a television-style production experience inside a ballroom environment. Every transition was called. Every moment was designed.
Video Production and Digital Content
Video production was central to the audience experience. The Digital Face Media team produced the majority of video content attendees saw throughout the institute — custom segments crafted to welcome delegates, spotlight Rotary initiatives, recognize leadership, and reinforce the conference narrative of engagement, innovation, and impact. Motion graphics, audio design, and pacing were all optimized specifically for large-screen, live-audience viewing.
Digital Signage and Social Media Integration
Beyond the main stage, Digital Face Media deployed a venue-wide digital signage network to guide attendees, surface session schedules, highlight sponsor messaging, and reinforce institute branding. A real-time social media wall ran continuously throughout the event — pulling in attendee posts, leadership updates, sponsor content, and curated Rotary initiatives into a single dynamic display that made the energy of the room visible and shareable.
